Email Writing | Easiest way to upgrade email skills

As nowadays, in this fast ongoing world- email writing also got one-step advanced.
While writing emails
whether it is for personal/Advertising/business communication or jobapplication short & engaging text get noticed well.
Here are some tips, which everyone should take care of it:
Let’s divide the e-mail writing in 4 parts as below:
- To
- CC/BCC
- Subject line
- Main body
Begin with Starting part: "To" Section:
· To add on more people in “To” section & not targeted to any individual will always reduce the chances to be responded.
· “To” section should always indicate that to whom we desire response and only that person should be added in this section.
Cc/Bcc:
A common mistake i found in most of the mails is that people will include unnecessary persons as cc/bcc, which can spoil mail impression.
· In this section only add those people who are concerned/related/affected with the message which you going to convey in the mail. Avoid marking a mail to a bunch of people who not have to do anything with this communication.
Subject:
A most important line
of your mail, which decides your mail will be opened or not.
· The subject should summarize your content & purpose of mail. And be precise while writing the subject of your mail. It should give a clear idea to the recipient that what it is all about.
· Never write subject line in capital letters.
Mail main body:
Mail main body is consist 4 parts:
- Salutation
- Body
- Closing line
- Signature
Salutation is the first line of your mail, which is also visible to the recipient from the inbox page. Basically, it is used to greet the recipient before starting the conversation.
For Example,
- Dear (Name/Sir/Mam)
Greetings of the day
- Respected Sir/Mam
- HI (Name)
Body:
It is the main part of
your mail, remember nobody wants to read lengthy paragraphs in the mail. Here
just write the message point to point, which you want to convey to the
recipient. Besides, if things you want to convey is lengthy than use bullet
point and in body highlight the content that is important so it will save the
recipient’s time and help him to understand mail quickly.
Closing line:
These are the last lines of your mail; which you can use as a call to action point.
For example:
- if you want response through the mail than you can write: awaits your prompt response
- If you want a response from call than you can use: awaiting your call.
- If you want to fix the response time that you can write: looking forward to speak with you on Monday.
Signature:
This is part is important to identify your identity.
- Here along with the name you have to also put any of your contact point-like contact number, skype id. Also, mention other details related to your communication like company name, designation, website, etc.
